Dear Meeting Planner,

Hopefully, the following will answer many of the logistical questions you have and will better help you plan your event.

To answer your questions about payment:

Consultant Fees Starting At:

Corporate: $3,000.00
Non-Profit/Association: $2,000.00
Central Florida: $1,500.00

Educational Connection  Fees include:  Preparation, Research, Delivery of Presentations and all expenses with the exception of hotel, travel to and from your location, A/V equipment and handout duplication. The fees quoted are also a daily rate.  The fee remains the same whether you want one of our consultants for one hour or one day.  This gives you the flexibility to have a keynote and one or two concurrent sessions.  Or we could present the same session a couple of times for your employees, enabling you to schedule attendance conveniently.

• What if our fee is not in your budget? We may be able to negotiate the fee if you secure another engagement during the visit to your state. We also may be able to help your organization find a sponsor for your program. We can explore funding resources.

• A 20% deposit and a signed program agreement will secure your date.

• The balance of your professional investment is due on or before the date of the presentation.

To answer your questions about travel arrangements and expenses:

• Our consultants typically make their own airline and ground transportation arrangements. However, if you prefer to make the arrangements, just make sure we confirm the travel plans with you before you make the final reservations.

• Additional expenses that you will incur are lodging (for as many nights as needed), A/V equipment, and handout duplication.

• Ordinarily the meeting planner will make the hotel arrangement. Our consultants usually arrive the afternoon prior to the engagement, to allow for travel disruptions, and may need an additional night depending on the time of day they are speaking at your location.  A non-smoking room in preferred.

To answer your questions about room set up and A/V equipment:

• A cordless lapel microphone is the preferred choice. A hand held microphone would be acceptable.

• Most of our speakers do not speak behind a lectern.  A podium or riser in a large room will help your audience’s line of sight.   

• Our speakers can deliver their presentations with or without Power Point.  If your budget does not allow for an LCD projector, we can do the presentations very effectively without Power Point.  However, should you desire additional visual aides, an LCD projector will be needed. 

• One 4-6 foot table is needed for our displays or speaking tools.  If Power Point is used, a small table and extension cords will be needed for the LCD projector and speaker’s laptop.

• You will receive a copy of the speaker’s introduction prior to the event.  They will bring an extra copy with them as well.

• Educational Connection will send you a master set of handouts at least 15 days prior to the event.
